Managing reimbursement approvals efficiently is crucial for maintaining financial control and transparency within your organization. With the Approval Policy feature, you can tailor the approval process based on various criteria such as funding source, amount, and expense category. Here’s a step-by-step guide to creating a customized Approval Policy in Summit:
1. On your Summit dashboard, navigate to the sidebar and click on “Approval Policies”
2. Once on the “Approval Policies” page, locate and click on “+ New Policy”. Select “Reimbursement” as the type of policy you want to create
3. Click on “Rename” to give your new Approval Policy a descriptive name.
4. Click on ‘Add Condition(s)’ to specify the criteria that incoming requests must meet to trigger this Approval Policy. Add at least one condition to filter your incoming requests based on the Budget, Amount, and Category
5. Once you have set the conditions, click on ‘Add Approver’ to assign the Approvers for your Approval Policy. Each approval step requires an Approver to approve or decline requests. You can add up to 3 approval steps in each Approval Policy.
You can also add multiple approvers in one approval step. There are 2 additional options for an approver which are ‘Any Admin’ and ‘Budget Owner’. These options allow you to designate any admin in the organization or the specific Budget Owner as the approver for flexibility
6. Once you have configured all steps and assigned the necessary Approvers, click ‘Publish’. Your new Approval Policy is now active and visible on the Approval Policy page, ready to streamline your reimbursement approval process
